Top benefits
- Adoption: no new application to learn; work starts in Word or Outlook.
- One identity: single sign-on with your Microsoft tenant and existing groups.
- Governed storage: SharePoint permissions, metadata, versioning and retention apply automatically.
- Fewer copies: templates are served centrally instead of living on local drives.
- Easier procurement: Microsoft Marketplace availability fits existing purchasing.
- Security review: data stays in a platform your IT team already manages.
How it works
- Word and Outlook add-in: approved templates at the point of creation (Word, Outlook).
- SharePoint: central template library and governed document storage (SharePoint integration).
- Teams: collaboration and approval (Teams integration).
- Source systems: client and financial data from CRM, ERP or practice management.
Implementation
Because Documentaal is Microsoft 365-native, there is no infrastructure to install. The add-in is deployed centrally, users sign in with their Microsoft account and templates are stored in SharePoint. The main work is preparing and approving templates. See how Documentaal works.
Where Microsoft 365 alone stops
Out of the box, Microsoft 365 stores documents well but does not enforce which template or clause a user picks, nor whether mandatory text stayed intact. That is the governance layer Documentaal adds. Read Microsoft 365 document automation.
