What a template governance tool should do
Template governance is more than storing templates in one place. A governance tool decides who can create and change templates, which content is mandatory, which parts users may edit and how every outgoing document can be traced back to an approved version. If you are new to the concept, start with what document governance is.
Most organizations start looking for a tool after a concrete incident: an outdated disclaimer in a client letter, a contract with an old liability clause, or a brand refresh that took months to roll out because templates lived on local drives.
Selection criteria
- Central management: one source of truth for templates, ideally in SharePoint.
- Protected content: clauses and disclaimers that users cannot remove or rewrite.
- Native Microsoft 365 experience: users stay in Word, Outlook and PowerPoint.
- Version control and audit trail: you can show which template version produced a document.
- Metadata: documents are classified at creation, not afterwards.
- Validation: checks for missing mandatory content before a document leaves the organization.
- Procurement: availability through Microsoft Marketplace simplifies vendor approval for many IT teams.
Documentaal
Documentaal is built for Microsoft 365 and positions governance at the center. Templates are managed centrally, mandatory clauses and disclaimers are protected, documents receive metadata in SharePoint and AI validation checks a document before it is sent. AI validates and assists; it does not generate legal text. See template governance in Documentaal.
Best fit: legal, accountancy, financial services, government and other regulated organizations that already run on Microsoft 365.
Templafy
Templafy is widely known for brand consistency and content distribution across Office applications. It is a frequent reference point in this category. For a detailed side-by-side, read Documentaal vs Templafy or the migration guide.
UpSlide, SmartDocuments and Formstack
UpSlide is commonly associated with financial services and PowerPoint/Excel productivity. SmartDocuments is a European template and document generation tool often used in public sector and enterprise settings. Formstack combines forms with document generation and is often used for data-collection-driven workflows outside Office.
Each of these can be the right choice depending on the use case. Verify current capabilities directly with the vendor, because product scopes change frequently.
How to run a fair evaluation
- Pick three real templates: one simple letter, one contract with mandatory clauses, one multi-language document.
- Let real end users create documents with each tool in a short pilot.
- Ask IT to review integration, permissions and data location.
- Use the IT evaluation checklist and the broader tools comparison.
About reviews
Independent review platforms and peer references are the most reliable way to compare user experience. Treat vendor-published comparisons, including this one, as a starting point and validate them in your own pilot.
